Registration & Payment
The fee for the three day conference includes admission to all presentations, conference materials, certificate of attendance, conference program, conference proceedings, welcome reception, buffet style breakfast, lunch, teas and coffees. The conference fee does not include travel and accommodation. If you wish to book accommodation, please book your room through our website. For the Special Conference Dinner you will have to book and pay separately. Further the conference fees / conference dinner fees are also inclusive the 13% Ontario GST/HST rate.

Conference Registration and Payment
Registrations received after 19th of October 2018 will not be processed any more, however, you may register in person on the first day of the conference at the registration desk.
If you are booking a group of 10 or more participants to attend the conference, each participant receives a 10% discount on the conference fee. To be eligible for this discount, all applications must be sent together in one batch, and the total of all fees must be paid together in one amount.
Please note that confirmation of registration takes place only after receipt of the conference fees.
Note: Authors from whom the abstract is being accepted and who are residing in C and D countries are invited to submit a separate request for financial support for accommodation to stay in Toronto (4 nights), and for their conference and social evening dinner fee to be waived. Granting of such requests, and the amount of the financial support for each individual, is dependent upon the financial contributions of the supporting organizations. Please note also that, those who are successful in their application for financial support, remain fully responsible for any other associated costs, such as travel, visa, and daily expenses.
All applicants will receive an acknowledgement of receipt by e-mail or mail of their registration form. However, confirmation of the official registration will thus only take place after having received the full payment of the conference fees.
Visa Letter Requests: if you need a letter confirming your conference registration to help facilitate your efforts in obtaining a visa, we can provide a confirmation letter once you have registered for the conference and after the payment has been processed. Once you meet these two requirements, please e-mail Oud Consultancy with your full name and registration confirmation number, and the address of the concerning embassy in your country. Let us also know if you are a presenter as well. Your request will be processed as soon as possible, and once your information is verified, the confirmation letter for your visa application will be e-mailed to you. Requests for mailed letters will be reviewed, and additional fees may apply. The confirmation letter does not guarantee you will receive a visa. Confirmation letters will only state the conference title, dates, location, payment confirmation of registration fees and that you are a presenter if applicable. Participants are advised to apply for a visa as early as possible.

There will be € 100,- handling charge for cancellations and requests for refunds. Such requests should be applied for in writing by 1st of August 2018. We regret that after this date no refund of fees can be made, however, you are allowed to nominate another person to take your registration. All accepted refunds will be made after the conference.
Disclaimer / Release and waiver of liability
In the very unlikely case of the occurrence of extraordinary events (e.g. natural disasters, state of emergency, outbreak of war) beyond the control of the conference organizers, Oud Consultancy has the right to immediately alter or cancel the conference or any arrangements, timetables, plans or other items relating directly or indirectly to the 2018 conference. In such a case the participants shall not be entitled to any compensation for damages that result from such alteration or cancellation. Furthermore, with the exception of any wilful damage or gross negligence committed by Oud Consultancy, the conference organizers shall at any time not be liable for any direct or indirect damage suffered by the participants, including consequential and immaterial damage caused by failure to comply with any provision of this document.
Oud Consultancy will not accept liability for any damage and/or loss that may incurred by a conference participant or his/her companion during the official activities of the conference or the scheduled excursions / events. All the participants are to take part in all the activities of the conference at their own risk. Participants are advised to charge any loss or damage they might incur during the conference to their insurance. Oud Consultancy will not accept responsibility for the individual medical, travel or personal insurance of the conference participants. All participants are strongly advised to obtain a personal insurance before attending the conference. Oud Consultancy will not be responsible for any personal accident, loss or damage to private property of this attending the conference.
The conference organization will not accept liability for presenters’ content. Conference presenters are personally responsible that they have adequate authorization regarding all aspects of their presentations. The conference organization is in no position to negotiate and/or arbitrate any issues of conflict arising from the lack of authorization, copyright infringements or other such and similar issues of content.
