Abstract Submission Process

 

Please submit your abstract electronically before the 1st of March 2018 by following the abstract submission guidance and instructions on the electronic submission form.

All submissions will be acknowledged promptly. If you do not receive an acknowledgement within one week, please contact the conference organizer, so that we can verify if your submission has been received.

All submissions will be anonymously reviewed by the scientific committee with decisions on acceptance or rejection of abstracts adjudicated by the scientific committee chair. Each abstract is submitted for peer review to members of the international scientific committee. Each abstract is anonymously adjudicated by at least three members of the committee.

Abstracts are evaluated according to the following criteria:

Following the evaluation of each submission, the steering group assesses the merit of each individual abstract and deliberates on the acceptance, the rejection or - occasionally - on provisional acceptance pending amelioration of the abstract. On applying this procedure, the steering group endeavors to do justice to all submitters and to the conference participants, who are entitled to receive state of the art knowledge at the conference.

Authors will be notified at the earliest time of the decision in relation to the acceptance of abstracts, and of the preliminary allocation of accepted abstracts / presentations within the conference program.

Authors of accepted abstracts for oral / paper presentations and workshops will be required to send a more detailed version of their presentation, with adequate reference to the literature, by the 15th of July 2018. Adhering to this submission date is important in order to complete the book of proceedings of the conference ( 450 pages) which will be distributed to all delegates at the start of the conference.

The more detailed version of presentations should not exceed 2500 words, and be submitted in size 11 font point letter type, with 1.5 line spacing. The word count excludes tables, figures, diagrams, footnotes, and references. In the event that a more detailed version has not been submitted, only the abstract will be published for papers and workshops, and no inclusion will be made for posters.

   

Decisions by the scientific committee as to the acceptance or rejection of abstracts, and the allocation of presentation times within the conference program, are final and no further correspondence will be entered into.

Submission of abstracts is on the understanding that authors of accepted abstracts will register for the full conference. Please note that authors will be required to confirm their acceptance of presentation and register with full payment of the conference fee before the 1st of August 2018. If the confirmation of acceptance, registration, and payment of the conference fee have not been completed by this date, the presentation cannot be included in the program and the published proceedings of the conference.

Submissions of more than one abstract from an individual and/or group of authors are welcome. However, in the interests of achieving an inclusiveness of presenters and a broad and balanced scientific program, it is necessary that for each accepted abstract one delegate is registered. For example if a group of authors have two abstracts accepted, this requires that two delegates are registered, if they have three abstracts accepted, this requires that three delegates are registered, and so on. And in case you are the only author of several different abstracts then only one abstract will be accepted.

Please note that presenters are responsible for their registration and conference fee, and for their transportation and accommodation costs.

Note: Authors from C and D countries are invited to submit a separate request for financial support for accommodation to stay in Toronto (4 nights), and for their conference and social evening dinner fee to be waived. Granting of such requests, and the amount of the financial support for each individual, is dependent upon the financial contributions of the supporting organizations. Please note also that, those who are successful in their application for financial support, remain fully responsible for any other associated costs, such as travel, visa, and daily expenses.
